Card on file, no-show fees and refunds

For salons on CardChamp (CardPointe), booqwell can save a client’s card when they book online, charge your no-show or late-cancel fee from the appointment, and refund all or part of a fee from the console. The card is stored as a token on the CardPointe gateway, not with booqwell; booqwell keeps only the card brand and last four digits.

Our team sets this up with you on the setup call, using the gateway details from your CardChamp account, and runs a test charge and refund with you before real clients book.

Reminders by email and text the day before cut many no-shows on their own. When someone does not come, mark the visit as a no-show, and the fee is one tap from the appointment. Your surcharging settings stay with CardChamp.

How reminders work

Reports and payroll that match your CardPointe batch

Every checkout in booqwell records what was sold, who did it, the tip and how it was paid: card, cash or gift card. At the end of the day, open Sales and you see the day’s card total next to the batch total in CardPointe. If the numbers differ, you can see which ticket is missing or voided instead of hunting through receipts.

Tips are recorded per specialist on services only, never on retail, so commission and tip pay come out right. Team & payroll adds up each person’s services, retail, commission and tips for the pay period, and exports it as a CSV that Gusto’s Smart Import reads, or that your bookkeeper can open in a spreadsheet.

For accounting, Settings › Accounting gives you private data links (CSV or JSON) that a bookkeeping tool can fetch for each pay period. You can revoke a link at any time.

CardChamp questions

Does booqwell work with CardChamp?
Yes. You keep your CardChamp merchant account and terminal. booqwell runs booking, reminders, the calendar and client records, and each card payment is recorded against its appointment.
What is CardPointe?
CardPointe is the payment gateway from CardConnect, part of Fiserv. CardChamp sets up merchant accounts on it, along with its own CardChamp Gateway.

Yes. With a card on file, the fee is charged from the appointment in the booqwell console, and you can refund all or part of it there.
Will my surcharging program still work?
Surcharging is set up on your CardChamp account and terminal, not in booqwell, so it carries on as before. The surcharge shows in your CardPointe batch, not on the booqwell ticket.
Do I need a new terminal?
No. Keep the terminal CardChamp set up for you. The card is taken on it and recorded in booqwell.
Where does the money go?
Straight to your CardChamp merchant account. booqwell never holds it and adds no fee per payment.
